The innovative player in beauty

Lyko operates e-commerce, stores, salons and in-house production. They see themselves as the customer's ‘beauty playground’ and want beauty to be inspiring and fun, rather than something taken too seriously. Lyko operates in Sweden, Norway, Finland, Denmark, Germany, the Netherlands, Austria and Poland. They put in daily work to be the obvious choice for beauty in all these markets. With millions of customer orders every year and a steady expansion, Lyko continues to grow at a rapid pace. However, with expansion also comes challenges, especially in workforce planning and efficiency. Lyko therefore needs an agile and scalable WFM solution - and they've been using Quinyx since 2013. Today, 113 locations and 1300 employees are managed in Quinyx.

Effective Workforce Management

In Quinyx, Lyko manages scheduling and time & attendance among other things. In the integrated Quinyx app, employees can view their schedule, book shifts, apply for holidays, receive information from both managers and head office, and certify their time worked.

To ensure staffing during peak order periods, such as Black Friday or the Christmas shopping season, employees can easily book themselves onto unmanned shifts directly in the Quinyx app and they then choose the day and time that suits them best. Åsa Magnusson, HR Specialist at Lyko, believes that the flexibility to control when employees want to work is very valuable for them. At the same time, Lyko can quickly and easily ensure that all shifts are manned.

"It has been a great advantage for us at Lyko that Quinyx works so well for several different countries and industries. It has allowed us to standardise work processes and simplify quality assurance, which in turn facilitates our scalability. I appreciate being able to have a clear overview of the business and the ability to provide support on a global level.", says Åsa.

Quinyx has led to a smooth and efficient WFM for Lyko. "It's hard to imagine how we would work without Quinyx", says Åsa. "Lyko is at the digital forefront and for us it is a matter of course to manage our WFM with a modern, flexible and scalable system."

Above all, Åsa appreciates how easy it is to manage scheduling. She also emphasises that the app leads to effective communication and more efficient processes, as employees can simply register their time worked in the app. Quinyx also has a seamless integration with Lyko's HR and payroll systems, making it smooth to manage payroll and personnel administration.

Time savings with Quinyx AI assistant Ava

Lyko was among the first to get exclusive access to the Quinyx AI-powered assistant Ava before the official launch. From day one, the assistant helped both employees and managers get answers to their questions quickly - directly in the Quinyx platform. Instead of searching through manuals, they could ask: ‘How do I reset my password?’ or ‘Where can I find the scheduling tools?’ and get an answer. The fact that the answers from the assistant were in Swedish led to a seamless experience.

The results speak for themselves: Lyko saved about five minutes per question. Which is a significant time gain in a busy organisation.

Åsa appreciated how quickly the assistant was able to answer questions and says it's positive to get answers when you're in the system - because that's when the questions come up. "Helpdocs don't always fit with the way modern people work. We don't want to search for the answers, we want them quickly", says Åsa.

Future opportunities

Lyko sees Quinyx as a natural part of their business, and in the future, the company is interested in exploring more of Quinyx's AI modules. In addition, they want to explore how Quinyx's Files & Folders from the Employee Hub module could further strengthen their workflows.
