FirstVet is the world's first digital veterinary clinic that gives pet owners the opportunity to meet veterinarians online, every day - all year round. From Excel to smart scheduling
For FirstVet, it is important that pets can quickly receive the right care. That is why they offer virtual appointments with veterinarians. Most people book an appointment within 30 minutes — which requires having efficient and well-functioning operations.
FirstVet has been using Quinyx since 2020. Before that, all schedules were created manually in Excel. The transition to Quinyx significantly streamlined the business. FirstVet now uses Quinyx in all markets, which makes it easier to manage global operations. The implementation of Quinyx has resulted in smoother work processes and better workforce management.
Quinyx handles scheduling and time reporting, among other things. An integration between Quinyx and FirstVet's booking system allows schedules and staffing to be adjusted based on demand. FirstVet also uses the Quinyx app, which allows employees to view their schedules, change shifts, communicate and update their availability. 90% of all employees use the app regularly. Additionally, FirstVet can send out pulse checks through the app to gain insights into employee sentiment in real time, allowing them to increase engagement and satisfaction in the workplace.
Next steps to optimize scheduling
FirstVet uses forecasts to predict how many veterinarians need to be scheduled. The forecast data will now be integrated directly into the system, meaning manual imports are not needed and the forecasts will be as accurate as possible. This will reduce the risk of over- and understaffing. With automated scheduling, forecast data will be converted into optimal schedules within minutes.
With this, FirstVet expects a reduction in administrative work so that valuable time can be spent on other things. With schedules created by AI, the risk of errors is also reduced, which means compliance can be maximized. In addition, increased employee satisfaction is expected as veterinarians' preferences will be automatically taken into account when scheduling.
